Why Contacts Matter

Every deal involves people — champions, decision-makers, blockers, and influencers. Nutan tracks these stakeholders with context from your meetings and CRM, so you always know who's involved and how engaged they are.

Adding Contacts

From Your CRM

If Salesforce or HubSpot is connected, contacts sync automatically. They're linked to deals based on your CRM associations.

Manually

  1. Navigate to Contacts in the sidebar.
  2. Click New Contact.
  3. Enter their name, email, and title.
  4. Associate them with one or more deals.

From Meetings

When Nutan detects meeting participants (via calendar events), it can suggest creating or linking contacts automatically.

Contact Roles

Each contact can be assigned a role that reflects their influence on the deal:

Roles help Nutan tailor intelligence. For example, if your champion goes silent, that's a stronger risk signal than an end user going quiet.

Engagement Score

Every contact has an engagement score from 0 to 100, calculated from:

  • Frequency of interactions (meetings, emails)
  • Recency of last interaction
  • Responsiveness patterns
  • Active participation in meetings (speaking time, questions asked)

The score updates automatically after each interaction.

Reading Engagement Scores

ScoreMeaning
80–100Highly engaged — regular interaction, responsive
50–79Moderately engaged — some interaction, may need nurturing
20–49Low engagement — infrequent contact, potential risk
0–19Disengaged — no recent interaction, flag for attention

Contact Security

Contact information is sensitive. Nutan encrypts all contact data:

  • Names and emails are individually encrypted at the field level with industry-standard strong encryption — not just the database, but each value.
  • Email lookups use secure blind indexing, so Nutan can find contacts by email without storing email addresses in searchable plaintext.
  • Authentication tokens for CRM and email integrations are stored in your operating system's secure keychain, never in the database.

Deleting Contacts

Contacts are soft-deleted. Click a contact and select Delete to remove them from your active view. Soft-delete ensures audit compliance and CRM sync integrity.
